Why Notify Council Of Your Event?

Event organisers have a responsibility to provide adequate measures to ensure the safety of event participants, spectators, and the public.  Events that are accessible to the public often trigger a number of obligations for the event organiser due to building and planning authority regulations, General Local Laws, and duty-of-care responsibilities.

Notifying Council of an event allows our staff to assist event organisers to navigate the required permits and approvals to avoid any repercussions for not meeting requirements, as well as arrange requested event support.

Council also has its own obligations with respect to events, especially if an event is occurring on Council land, requires a General Local Law permit, or is subject to building and/or planning regulations.

In some cases, not obtaining the appropriate permits can carry significant penalties for the event organiser and/or Council, and will likely result in the cancellation of an event.

Even if an event is not occurring on Council land and does not require permits or formal approvals, Council may be able to assist in notifying relevant emergency services and provide in-kind support.

Please Note: 
  • Event notifications should be completed (via the online form below) at least eight (8) weeks prior to your event.
  • Submitting the notification form does not constitute approval to proceed with your event. You will be advised as to what permits you require for your event and whether or not you need to complete and submit additional paperwork.
  • Requests to use Council's aerodromes for events or activities must compy with the Council's Aerodrome Activities Policy(PDF, 3MB) - to summarise, motor sport and vehicle-related events on Council's airstrip or airside areas and PROHIBITED.  Any event that requires a NOTAM will also be refused.  The main function of the aerodrome is for aircraft operations, including emergency service activities involving aircraft.

The Community Strengthening Team will coordinate an assessment of your event.  Event organisers will then be advised of any further process or requirements that may be needed given the specific circumstances and environment applicable to the individual event.

Emergency Management Plans and Risk Management Plans are valuable resources for an event of any size.  These documents ensure that appropriate plans and actions are in place to prevent, mitigate and/or respond to hazards.  Hazards are anything that threatens or lessens the success of an event.  It is important to have written records of risk mitigation efforts and emergency plans if an incident occurs during an event.
